These terms have not yet been reviewed by legal counsel, and they are published in that state on purpose. They describe the Synaptiq Health AI demonstration environment exactly as it works today — a synthetic-data platform with no service level agreement and no business associate agreement in place. A counsel-reviewed agreement will govern any production or clinical use.
These terms describe the Synaptiq Health AI demonstration environment as it actually operates today, last reviewed 31 July 2026. They have not yet been reviewed by legal counsel, and they are published in that state deliberately rather than replaced by boilerplate that would read as more settled than the product is. A counsel-reviewed agreement will govern any production or clinical deployment. Where a term is not yet established, these terms say so.
Synaptiq Health AI is a read-only clinical intelligence layer over fragmented medical records, intended to support record review by authorized healthcare users. It is not an electronic health record, not a patient portal, and not an AI doctor. The hospital EMR and any connected source systems remain the authoritative record. The platform retrieves, indexes, normalizes, and summarizes records, builds timelines, answers questions with citations, and audits access. It never edits diagnoses, medications, demographics, orders, prescriptions, or notes in a source system, never writes notes back to an EMR, and never overwrites source data.
The platform does not diagnose, does not recommend or select treatment, and does not make autonomous medical decisions of any kind. The assistant is instructed at the model level to refrain from diagnosing, to refrain from recommending treatment, to answer only from the records supplied to it, to reframe requests for advice as what a physician should review in the available records, and to state "not found in available records" when an answer is absent or uncertain. Those constraints are part of how the product is built, and they are also a term of this agreement: output from this platform must not be used as a diagnosis, as a treatment recommendation, or as a substitute for professional clinical judgment.
Every clinical decision made in connection with information from this platform is the responsibility of the licensed clinician making it. Summaries and answers are a starting point for review and must be verified against the cited source records before being relied upon. The platform is designed to support physician review, not to replace it, and no output should be treated as reviewed, validated, or clinically authoritative merely because the platform produced it.
AI answers are grounded in the records available to the platform at the time of the question, which may be incomplete, out of date, or missing entirely. Answers are length-capped, cite a limited number of sources, and are drawn from a bounded extract of the chart rather than the whole record. The model may be unavailable; when it is, the platform serves a deterministic local answer built from the retrieved records and labels it as a fallback rather than failing silently or fabricating. Every answer carries a label identifying its source. Missing information is reported as missing, and an absence of findings in an answer is never evidence of an absence of findings in the patient's record.
This environment is approved for synthetic or de-identified sample data only, and that is a condition of use rather than a suggestion. Do not upload, enter, transmit, or otherwise introduce real patient information, protected health information, or any other real personal data. No business associate agreement is in place with our hosting, model, or email providers, so real patient data cannot lawfully flow through this stack regardless of how carefully the application behaves. Handling real records requires a separate production agreement, a security review, executed business associate agreements, and appropriate compliance controls, none of which this environment carries.
There is no public self-serve access. Access is requested with a hospital email address, which becomes the login; addresses at common public consumer email domains are refused. An account cannot sign in until an administrator has approved it. The NPI number submitted at registration is checked against the public NPPES registry and the result is recorded for the reviewing administrator, but that check is advisory and does not by itself grant or deny access. Administrator console access is separate from clinician and patient login.
You are responsible for the confidentiality of your credentials and for all activity conducted under your account. Use the platform only for authorized clinical, administrative, or evaluation purposes, and only for patients whose records you have a legitimate reason to review. Do not share credentials, do not attempt to access records you have not been granted, do not attempt to re-identify individuals from any data in the platform, do not circumvent rate limits or access controls, and do not scrape, resell, or redistribute platform content. Notify us promptly through the contact form if you believe an account has been compromised.
An approved account is not by itself permission to view a chart. Chart access additionally requires an approved access request for that specific patient. Patients holding a portal account may approve a request, deny it, or revoke access that was previously granted, and a revocation takes effect immediately. Administrators may also approve or deny requests, and may suspend, reset, or delete an account. Requesting or retaining access you no longer need is a misuse of the platform.
Logins, access requests, approvals, denials, revocations, chart views, chart questions, and administrative actions are recorded in an audit trail, including the text of questions asked of the assistant. Audit records are retained after the associated account is deleted. By using the platform you acknowledge this logging. Details of what is recorded and what is deliberately excluded are described in the Privacy Policy.
This is a demonstration environment provided without a service level agreement, uptime commitment, or support commitment. There is no scheduled maintenance window, no status page, and no automated database backup on the current hosting plan. The service, its features, and its data may change or be withdrawn at any time without notice. Do not depend on this environment for anything time-critical or clinically consequential.
The platform relies on third-party providers for hosting, model inference, transactional email, clinician registry lookups, and the synthetic record source. Those providers are identified in the Privacy Policy. No business associate agreement is in place with any of them today, and none is offered under these terms. Third-party services carry their own terms and their own availability, and an outage or change at a provider can degrade or interrupt the platform.
No formal retention schedule has been established, and these terms do not create one. If an account is deleted, the associated audit records are deliberately preserved. Chart content is not stored by the platform — only a short summary and problem list per indexed patient — so terminating an account does not delete records from any source system, which remains authoritative and unaffected.
The platform, its software, its interface, and its written content belong to Synaptiq Health AI. Use of the platform grants a limited, revocable, non-transferable right to access it for authorized evaluation or clinical review purposes, and nothing more. Source records retrieved through the platform belong to their source systems and their subjects, not to us. No right to copy, modify, reverse engineer, or create derivative works of the platform is granted.
The platform is provided "as is" and "as available", without warranties of any kind, whether express, implied, or statutory, including any implied warranty of merchantability, fitness for a particular purpose, non-infringement, accuracy, or completeness. We do not warrant that the platform will be uninterrupted, error-free, or secure, that retrieved records are complete or current, or that AI-generated output is accurate.
To the maximum extent permitted by law, Synaptiq Health AI is not liable for any clinical decision, diagnosis, treatment, or patient outcome arising from use of the platform or reliance on its output, nor for any indirect, incidental, special, consequential, exemplary, or punitive damages, nor for lost profits, lost data, or business interruption. This limitation reflects the nature of the product: it is a review aid over records it does not own, operating on synthetic data, with a licensed clinician responsible for every clinical judgment.
These terms may be updated as the product changes, and material revisions are expected before any production deployment. The date at the top of this page reflects the most recent revision. Continued use after a change constitutes acceptance of the revised terms.
Several terms a finished agreement would state are genuinely unsettled, and are listed here rather than invented: the contracting legal entity and its registered address, the governing law and the forum for disputes, any dispute resolution or arbitration procedure, fees and payment terms, indemnification obligations, and a liability cap expressed as an amount. Production deployment requires finalized customer terms, executed business associate agreements, a security review, uptime expectations, and data-processing terms.
